Master Key Audit Checklist for LA Property Managers

by | Sep 25, 2025 | Commercial, Locksmith Tips

A master key system allows property managers to access multiple doors with a single key. This setup supports emergencies, simplifies access, and reduces key clutter. However, without periodic reviews, gaps can develop that may compromise security.

At West Coast Locksmith, we assist Los Angeles property managers in keeping their master key systems secure, organized, and fully functional. Use this checklist to assess your current setup and correct issues before they lead to risk.

1. Keep Your Key Holder List Updated

Begin by maintaining a current record of all personnel with master key access. This list should include onsite staff, third-party vendors, and any contractors approved by management. We recommend reviewing this list every six months or whenever staff changes occur.

  • Remove individuals no longer authorized to enter the property.
  • Track the exact number of keys issued and their current holders.
  • Store spare and backup keys in a locked cabinet or safe, not in open-access areas.

2. Address Missing Keys Immediately

Unreturned or missing keys pose a significant risk. If a master key is lost, it may have been copied or picked up by someone outside your team. If you suspect a key is missing:

  • Document the areas it granted access to.
  • Schedule a rekey or cylinder change for those locks.
  • Review and tighten key issuance procedures.

3. Evaluate Key Access Levels

Your system should reflect actual access needs. If staff or vendors hold keys to areas they don’t need, remove or reduce access.

Walk the property and confirm:

  • Each key opens only its intended doors.
  • Access to maintenance, storage, or electrical rooms is limited to staff.
  • Tenants or guests do not hold master-level access.

If necessary, adjust your lock hierarchy or update your key plan. We help reconfigure systems and provide matching lock cylinders when needed.

4. Examine Key and Lock Condition

Keys wear down over time and locks shift, if even slightly, with continued use. Worn keys can also damage hardware or cause lockouts.

Check for:

  • Bent or worn-down key blades
  • Keys that catch or stick when inserted
  • Locks that feel loose, misaligned, or don’t latch fully

Replace damaged keys promptly. If multiple doors have issues, schedule a full lock inspection to prevent system-wide failure.

5. Verify System-Wide Compatibility

Over time, individual locks may be replaced without syncing with your master key system. This creates confusion and weakens consistency.

Inspect:

  • Recent lock changes or repairs
  • Doors that no longer respond to the correct key
  • Units with incompatible cylinders or older models

Rekey or upgrade mismatched locks so that all doors respond as expected and key management remains efficient.

6. Test Key Function and Door Alignment

Keys must work smoothly, and doors must close and latch properly. Improperly aligned doors strain hardware and make lockouts more likely. We offer adjustments and hardware replacements to keep locks and doors functioning properly.

During inspections, look for:

  • Doors that don’t close completely
  • Latches that stick or miss the strike plate
  • Lock mechanisms that feel unstable or grind during turning

7. Secure All Master Keys and Track Usage

Store all master keys in a secure, access-controlled location. Track each use or checkout with a written or digital log. If using an electronic key cabinet, regularly audit the system for unreturned keys or irregular activity.

Keep one emergency backup stored on-site in a locked safe. For added protection, consider storing another backup off-site with property ownership or senior management.
